Common Elements for UVic Publications

Information on this page pertains to informational or promotional print publications for internal or external audiences issued by academic and administrative units of the University of Victoria or co-published with non-UVic partners.

This includes any publications that:

  • represent official statements of or about the University of Victoria or its constituent units;
  • describe University of Victoria programs, services or functions;
  • solicit or encourage support for or participation in university programs or activities, or
  • commit the University of Victoria or any of its constituent units to perform an action or deliver a service.

Publications covered include, but are not limited to: brochures, posters, pamphlets, newsletters, annual reports, magazines, event or performance programs, and print advertisements (including ads for university-sponsored events, personnel recruitment ads).

Not included are publications by students or student organizations, teaching materials, scholarly communications, theses and dissertations, stationery items or regular correspondence.

Association with UVic

All publications produced by UVic units should indicate clearly and prominently the association of the publication/publishing unit with the University of Victoria.

One of the standard university signatures (logo and wordmark) provided in the UVic Graphic Standards Visual Identity module must appear, legible and easily visible at first glance.

Info on the Publishing Unit

The publication should indicate clearly which UVic unit is responsible for issuing it and should include adequate contact information to enable recipients to communicate with the unit responsible.

Copyright

When appropriate, university publications should carry a copyright mark. Normally, the copyright holder for university publications will be the University of Victoria, and the copyright mark should consist of the copyright symbol, followed by the words “University of Victoria”, and the year of publication set off by a comma. For example: “© University of Victoria, 2006”.

University publications that include someone else’s copyrighted material (text or graphics) shall obtain reproduction rights from the copyright holder and clearly indicate the ownership of the copyrighted material in the publication.

Freedom of Information

University publications must comply with the provisions of the Freedom of Information and Protection of Privacy Act and in particular its provisions related to use and disclosure of personal information.

The university secretary is the delegated head under the Freedom of Information and Protection of Privacy (FOIPOP) Act for the University of Victoria.

Permissions & Credits

University publications shall provide published credit, as appropriate and according to any legal or contractual requirements, to those involved in the production of the publication, including but not limited to writers, editors, translators, photographers, illustrators, graphic designers, providers of data for charts and graphs.

University publications shall obtain appropriate releases and permissions from individuals represented in photographs and ensure that they are identified, as appropriate, in accompanying text.

Alternative Formats

UVic publications should indicate that the information they convey is available in alternative formats. For example:

"This information can be made available, on request, in alternative formats, such as electronic, large print, Braille or audio tape. For more information, please contact........"

Environmental Considerations

The university encourages the use of printing materials and processes that reduce the negative impact on the natural environment whenever practical. Publications should indicate when such materials and processes have been employed. For example:

"This document is printed on acid-fee paper containing 100 per cent post-consumer fibre and produced by a totally chlorine-free (TCF) process. It has been printed with vegetable-based inks."

Country of Printing

It is standard practice to indicate the country in which the publication was printed, as follows:

"Printed in Canada."

Publication Date & Print Run

It is often helpful for future reference to indicate unobtrusively the month and year of publication and the number of copies printed. For example, the following:

"6K10.04" (indicating that 6,000 copies were printed in October 2004)

General Description of UVic

The following paragraph is recommended as a general description of UVic to be used in publications distributed to an external audience.
